How it works

  1. Name your association. It goes at the top of every letter, and the letter is signed by your board.
  2. Say what is owed. What the assessment is called, the amount, and the date it is due.
  3. Say where you are in the year. Before the due date, on it, or after. That changes one sentence so the letter says the right thing.
  4. Write the payment instructions. In your own words. They are printed exactly as you write them, because the money is your association business and not ours.
  5. Paste the names and download. Each letter starts a new page, so the whole run prints and folds in one go.

Nothing is stored. Nothing you type here is stored. The document is made when you ask for it and then it is gone from our side: no account, no database row, no mailing list, and nothing kept about the people you name.

We never touch the money either. Dues move between your member and your association, and no bank account is connected to this software.

This is a reminder from your board. It is not a demand, a notice of delinquency, or a notice of lien. Late fees, interest, suspension of privileges and lien rights are set by your governing documents and your state law, and several states require specific wording and a specific way of delivering it before any of them apply.

Questions boards ask

Do you take the payment?
No. There is no payment processing here and no bank account connected to this software. The letter tells a member how to pay your association, in your own words, and the money moves between them and you.
Is my member list stored?
No. The names, the amount and your payment instructions are used to draw the letters and then they are gone. No account, no database row, no log line.
Is this a collection letter?
No. It is a reminder from the board. Late fees, interest, suspension of privileges and lien rights are set by your governing documents and your state, and several states require specific wording and a specific way of delivering it before any of them apply. Use your own rules, and your attorney, for anything past a reminder.
What if the member already paid?
Every letter carries the line that says so: already paid, disregard this, payments can take a few days to be recorded. It is there so a reminder that crosses a cheque in the mail does not read as an accusation.
Can I use this for a club or a lodge instead of an HOA?
Yes. Call the assessment whatever your club calls it, membership dues included, and the letter uses your words.
Can I print addresses on them?
The letters carry the member name. Addresses come from a roster, which is what the software keeps and this page deliberately does not.

Next time, the reminders go out on their own.

In governance.center you set the dues period once, mark who has paid, and the reminder ladder goes out before the due date and after it, to the right people only, at most once each. Members with no email address get a printed letter through the same path.
