The sign-in sheet, printed from your roster.
Paste your roster and download the sheet that sits on the table by the door: a numbered row for each member, a line to sign, a column for the proxy holder, and the quorum count at the bottom. No account, and nothing you paste is kept.

How it works
- Name the meeting. Your organization, what the meeting is called, and the date it is held.
- Say what makes a quorum. The number from your bylaws. It is printed at the foot of the sheet so whoever counts has it in front of them.
- Paste the roster. One name on each line. Put the unit or lot after a comma, or paste two columns straight out of a spreadsheet.
- Download and print. Clip it to a board by the door. File the signed sheet with the minutes: it is the evidence that quorum was there.
Nothing is stored. Nothing you type here is stored. The document is made when you ask for it and then it is gone from our side: no account, no database row, no mailing list, and nothing kept about the people you name.
Your roster is the most sensitive thing on this page, so it is worth saying twice: the names go into the sheet and nowhere else.
Questions boards ask
- Do I need an account?
- No. No sign up, no email address, no payment. Paste, download, print.
- Is my roster stored?
- No. The names are used to draw the sheet and then they are gone. We keep no copy, write no database row, and put nothing in a log.
- How do I put the unit or lot number in?
- Put it after a comma: Marta Ruiz, 12B. If you paste two columns out of a spreadsheet the second column becomes the unit on its own. A name written back to front, like Ruiz, Marta Elena, keeps its whole name.
- Why is there a proxy column?
- So the person at the door can write down who is holding a proxy for whom, in the same place as the signature. Whether a proxy counts toward quorum is set by your bylaws and your state, and the sheet says so rather than deciding for you.
- Can I print a blank sheet and let people write their own names?
- Yes. Leave the names box empty and you get a ruled sheet with numbered rows. There is also a blank form you can keep a stack of.
- How many names fit?
- Up to four hundred, running onto as many pages as it takes, with the column headings repeated on each page. Past that, call us and we will run the roster for you.
Want a stack of blank ones to keep in the cupboard? Print the blank sign-in sheet. Members who cannot attend? Print the proxy form for the meeting.
NEXT TIME
Next time, the sheet comes from the roster you already keep.
In governance.center the roster is one living list. The sign-in sheet, the notice, the dues letters and the ballot all come off it, so nobody retypes a name and nobody prints a sheet that is a year out of date.
